Responsibilities

  • Provide administrative support for office personnel
  • Provide conference room refreshments with coordination prior, during, and after meeting
  • Maintain front desk area, keeping it clean and free from clutter as well as other office common areas
  • General clerical duties including photocopying, fax and mailing (including emailing)
  • Answer, screen and transfer inbound phone calls
  • Verify VARs, receive and direct visitors and customers
  • Enter employees into the Access Control System for Suite access and maintain inventory of access badges
  • Submit requests for CAC, review requests, submit to the Trusted Agents
  • Coordinate and maintain office roster of staff, telephones, parking, and seating chart
  • Maintain electronic and hard copy filing system, retrieve documents from filing system
  • Schedule and coordinate conference rooms including prepping in between meetings
  • Maintain office supply inventories for the entire suite
  • Coordinate maintenance of office equipment, kitchen areas and facilities
  • Assist with distribution of incoming mail and prepare outgoing mail including bulk mail
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
