Responsibilities

  • As the Administrative Assistant for Talent Management, you will perform administrative support functions for Talent Acquisition, Talent Connections and Talent Development & Diversity teams.
  • You will provide office and administrative support including software solutions, policy interpretation, and resource management while maintaining the Microsoft SharePoint site and updating Talent Management process documentation. You will also provide recommendations for Talent Management administrative processes and systems improvements.
  • You will handle budget and accounting tasks, including processing invoices, reimbursements, financial reporting, and monitoring budgets.
  • You will plan and support training and recognition events, including logistics for Port-wide and Employee Resource Group activities. You will provide general calendar management by scheduling meetings for programs, staff, and external stakeholders including interview scheduling, as needed.
  • You will coordinate travel arrangements and process related expense claims/reports.
  • You will serve as Corporate\Purchase Card (P-Card) user to purchase both routine and non-routine items, ensure goods and services are received, coordinate returns, when necessary, reconcile receipts and invoices, and interact with vendors to resolve discrepancies.
  • You will provide complex editing and contracting support by proofreading documents, ensuring conformance with current policies, submitting purchase requisitions, and preparing invoices for payment. You will assist with documents and template creation including editing and formatting.
  • You will support the onboarding and offboarding of personnel per Port policies and serve as the authorized signer for badging.
  • You will support the Port’s Tuition Reimbursement Program by tracking and reporting on progress of participants in the program, administering and reporting on reimbursements and budget management. You may be asked to forecast tuition reimbursement usage based on analysis.
  • You will provide administrative support for Talent Acquisition’s police hiring processes including civil service support when requested.
