Responsibilities

  • Provides excellent and timely service to employees on all benefits-related questions including answering incoming benefit questions/inquiries, performing research in order to answer/resolve issues, and managing the benefits inbox, benefits phone line, Service Now requests and voicemail messages.
  • Provides new employees with benefits educational materials to support understanding of and value of benefit offerings. Works closely with Talent Acquisition and HR Directors (HRBPs) to ensure necessary benefit and enrollment information is provided to candidates, new employees, and newly benefit eligible employees as part of the onboarding process.
  • Monitors vendor emails for action required and/or errors to be addressed.
  • Assists with weekly claim process by saving claims files and sending to Accounting for payment.
  • Assists with invoicing by saving all invoices to be paid.
  • Handles all questions from FSA/HSA/COBRA provider including by not limited to making corrections, reporting and entering COBRA subsidies.
  • Acts as the day-to-day contact for leaves of absence (LOA) as questions arise with LOA/Disability vendor, from HR Directors (HRBPs) or Workers’ Compensation carriers. Escalates LOA issues with vendor and other parties as needed to ensure any challenges are appropriately addressed.
  • Issues benefit premium invoices to employees on leaves of absences and tracks payments including submitting to accounting and updating Payroll Team.
  • Assists with facilitating the company’s interactive process as it relates to employee accommodation requests or needs.
  • Ensures accommodation requests and the associated processes are consistent and in alignment with the Americans with Disability Act (ADA).
  • Provides necessary communication to managers and HRBPs on a need to know basis as it relates to an employee’s request for accommodation.
  • Researches and provides input on feasibility of accommodation requests by working vendors, managers, employees, and other disability resources.
  • Manages social event budget and orders flowers as requested.
  • Works with benefits team to facilitate successful execution of annual open enrollment.
  • Coordinates and executes mass employee communications (voicemail reminders, text messages, emails, letters).
  • Handles data entry, employee file requests, adjustments to time off programs and pull documents from archived employee files.
  • Goes through Benefit mail and handles ongoing mailing to current and former employees including but not limited to term notices, ACA marketplace notice, 401(k) disclosures and state specific notices.
  • Acts as the primary point of contact for employee questions on benefit platform.
  • Performs special projects for the Total Rewards team.
  • Works with others in department to answer any general department questions and performs back up responsibilities for others on the team as needed or assigned.
  • Keeps manager informed of important developments, potential problems, and related information necessary for effective management. Coordinates and communicates plans and activities with others, as appropriate, to ensure a coordinated work effort and team approach.
