Responsibilities

  • Own the management of the firm's external event programme, which ranges from small-scale lunches and webinars, to roundtable dinners, large seminars and major corporate hospitality events.
  • Oversee the end-to-end process of event organisation from initial concept and development, budgeting, production of materials, attendee lists, venue hire, sourcing external suppliers as required (AV, caterers), to stakeholder communications, implementation, and post-event reporting/evaluation.
  • Liaise with departments across the firm, including PA support, Facilities (including Catering), Front of House and Marketing to co-ordinate the resourcing and delivery of events, ensuring attention to detail of ‘meet and greet' processes, room layout, badge production, catering, reception of visitors, etc.
  • Oversee the delivery of webinars and manage the sourcing and ongoing management of our selected webinar platforms.
  • Conduct venue research and keep abreast of developments in the events industry generally, also in event management software that the firm can benefit from, proactively identifying improvements to event management processes, roles and responsibilities, to ensure best practice is maintained, efficiencies realised, and attendee experience optimised at all times..
  • Use the firm's contact database (InterAction) and external sources to manage event attendee lists and support the creation of invitation lists.
  • Work with the Digital Marketing team and event sponsors, to manage the communications process for high profile events.
  • Occasionally travel to London (and if necessary to Edinburgh) either to source venues, or to prepare events. This may require working outside normal business hours.
  • Produce marketing and management information relating to events (responses, attendance and speaker evaluation) to help inform the approach to future events.
