Responsibilities

  • Keeping the kitchen and fridges stocked – tea, coffee, milks, biscuits etc
  • Keeping the stationary cupboard stocked
  • Maintaining a good level of organisation throughout the office
  • Setting up for all company meetings, lunch and learns etc – ensuring larger events run smoothly, food is laid out etc.
  • Dealing with the post and deliveries – sending them, ordering collections, giving post to the relevant individuals
  • Assigning and keeping track of the lockers.
  • Ensuring that H&S is being followed
  • Keeping track of dietary requirements of staff
  • Organising post collection
  • Arranging couriers/cabs
  • Arranging drinks for in-office events
  • Updating/creating signs around the office
  • Updating the office with necessary communications
  • Maintaining stock of wellbeing supplies – buying and refilling the baskets
  • Member of Charity and Social committee – assisting with social/office events, delivering comms to the office.
  • Weekly checking the charity inbox, distributing and escalating where necessary
  • Maintaining good relationships with contractors. Contacting when necessary to arrange visits and services.
  • Helping arrange meeting rooms when needed
  • Managing and logging all visitors to the office, meeting & greeting, signing them in and out, arranging drinks
  • Provide administrative and general support to the Facilities and Office Manager in ensuring compliance with Health and Safety Regulations
  • Assisting with the planning of the social events.
  • Assisting the Charity and Social Committee
  • Liaising with building security when necessary, giving occupational figures weekly.
  • Keeping track and files of the FOM spending on cash card
  • Support Facilities & Office Manager on any office tidy ups/ office improvements
  • Answering the main office number, directing & transferring calls, taking messages
  • Helping with the smooth running of meetings – being on call when needed
  • Managing schedule for weekly onsite subsidised massages for staff.
  • Helping the FOM to come up with fresh ideas which adds to our office and company values
  • Conducting H&S/Office tour to new starters
