Requirements

  • Three full-time years of general clerical or administrative service experience.
  • Demonstrated computer literacy including experience working with Microsoft Office and Excel, website management software, graphic design tools, and social media platforms.
  • Evidence of strong organizational skills and attention to detail.
  • Demonstrated experience working with people as individuals and in groups; ability to forge equitable and successful partnerships with other professionals and organizations.
  • Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date.

Responsibilities

  • Collaborate with Health Extension leadership to organize and establish work processes and implement guidelines to support statewide health and well-being program initiatives.
  • Attend regular team and grant meetings, record meeting minutes, organize and maintain files with team documents.
  • Schedule, plan and coordinate meetings, trainings and events with project teams, stakeholders, advisory committees, and others involved in program efforts. This may include arranging for virtual participation and/or travel to various locations in the State.
  • Compose and edit correspondence for Health Extension leadership as needed.
  • Develop visually appealing communication and marketing materials for Health Extension programs and events including newsletters, brochures, flyers, and social media posts.
  • Provide technical computer support and website maintenance.
  • Advise specialists and faculty on proper procedures, policies, guidelines and protocols, serve as principal contact.
  • Monitor deadlines and timelines, assist leadership by making sure deadlines are met.
  • Manage grant and program logistics, contact vendors, negotiate contracts and fees.
  • Manage meeting set up, order and arrange for meals and set up necessary equipment as required.
  • Coordinate training and workshop evaluations and compile summary statistics with the leadership team.
  • Work with leadership team to collect data needed for grant reporting and management, assist with report writing.
  • Select proper travel procedures and fiscal requirements using approved travel and car rental agencies, determine cost effective lodging facilities when determining itineraries.
  • Work with contractors and vendors, ensure timely communication and payments.
  • Mentor program leads and specialists on proper accounting guidelines, program account balances and individual line items.
