Responsibilities

  • Addressing Office Risk Assessments (Fire, Health and Safety and Environmental & DSE assessments) and Environmental aspects register and Audit Programme in conjunction with the ‘H&S Auditor/Premises Advisor’.
  • Overseeing first-day induction of new employees in respect of facilities, fire and office safety and Right to Work checks.
  • Assisting with external suppliers and facilities contractors working alongside our Group Facilities team in the selection, appointment, direction, management, oversight and renewal of suppliers/contractors.
  • Building a close relationship with our landlord and building management team.
  • Ensuring a safe, clean and comfortable environment for staff and visitors.
  • Maintaining and reviewing facilities records, inspection/testing/drills, and action schedules.
  • Maintaining the health and safety file/completing audit forms.
  • Completing and returning quarterly reports to the compliance teams, raising any queries with the HoO/Group Facilities wherever necessary.
  • Being a point of contact for, and assisting the Head of Office with coordinating internal and external regional audits and assessments including 'Dawn Raids'.
  • Ensuring safe and efficient use of equipment/dishwasher/fridge/binders and other office equipment (manufacturer’s instructions).
  • Implementing measures to ensure our offices achieve the highest level of sustainability.
  • Assisting with the organisation and management of events, in line with the demands of the company.
  • Maintain appropriate stock levels of consumables.
  • Working in partnership with Group Facilities to regularly review any contracts held, looking to change contracts if necessary whilst keeping a database of these.
  • Acting as a first point of contact for daily phone and email enquiries and in-person visitors.
  • Providing the Commercial Agency team and Head of Office with administrative support, including organising key collections, maintenance and audit of key records, drafting and typing of correspondence and reports, creation of sales brochures, liaising with board and design contractors, assistance with Anti-Money Laundering checks etc.
  • Circulating agendas, attending and drafting minutes for Regional Management Team meetings.
  • Using our internal system, NetSuite, to create and maintain records for the Business Space Agency team, including creation and maintenance of client and job records, updating orderbooks, reporting and internal and external invoicing.
  • Acting as one of the First Aiders and Fire Marshals for the office, undertaking all relevant training.
