Responsibilities

  • Administrative and Coordinating Project Activities
  • Organizes and coordinates project activities
  • Primary resource for document control
  • Downloads full submission sets to our server
  • Coordinates printing and distribution of hard copy documents
  • Coordinates distribution of digital documents
  • Accesses/downloads remote documents, initiating local filing, and record keeping process
  • Ensures understanding of the contract Scope of Work
  • Schedules consultant coordination meetings
  • Prepares consultant correspondence and coordination
  • Assists with preparation of monthly project reports
  • Liaises with internal parties to confirm status, receive and return completed assignments
  • Data entry – such as entering preliminary data into contracts, assisting project manager in project setup and maintaining current information
  • Prepares meeting minutes and distributes after PM sign-off
  • Assists in preparation of presentations
  • Maintain project database and project folder structure
  • Ensures confidentiality agreements are signed and on file for new team members
  • Ensures Electronic File Distribution Agreements are signed and on file prior to drawing / model distribution per contract
  • Performs a variety of contract management functions with emphasis on contract review, assembly of standard forms of agreement, and coordination with Corporate Legal resources
  • Enter preliminary data into contracts
  • Request Certificate of Insurance and Risk Committee Review and follow up
  • Coordinate process for final execution of agreements with Corporate Legal resources, consultants, clients and others as directed
  • Construction Contract Administration Functions
  • Coordinates office activities to support Contract Administration
  • Tracks/logs, prioritizes, coordinates, distributes, and returns incoming RFIs and Submittals
  • Prioritizes submittal reviews and manages circulation sequence
  • Compiles and issues site instructions
  • Coordinates LEED-related submittals with Research Group for timely input and review
  • Tracks submittals against requirements of the Project Manual
  • Enters progress items and assists in preparation of certificates of payment and monthly progress reports
  • Organizes and maintains Construction Administration documentation
  • Works with the team for occupancy including coordination of close out documents, occupancy documentation and recording deficiencies
