Responsibilities

  • Front desk responsibilities, including answering phones, transferring calls, greeting visitors, accepting deliveries, sending out packages, as well as checking, sorting, distributing, and sending mail, etc.
  • Assist with local day-to-day operations, including general office electronic and hardcopy filing, maintaining office supply inventory, and providing general tidying and upkeep of office space.
  • Review/approve timesheets and expense reports in a timely fashion, as well as assist Managing Principals with compiling receipts and submitting expenses.
  • Coordinate and schedule Studio Lunch and Learns for Continuing Education for technical staff.
  • Coordinate and schedule vendor activities, equipment servicing, and other office maintenance contractors, such as cleaners, etc.
  • Maintain records archiving and retention process, with input from project managers.
  • Coordinate/plan office-wide staff events in conjunction with Regional Operations Manager and the Managing Principal.
  • Support Managing Principals, Project Managers, and Regional Operations Manager, with additional tasks, as requested.
  • Work with local team, as well as company-wide IT team, to provide basic troubleshooting, including printer/toner issues, paper jams, setting up docking stations, etc.
  • Coordinate with Regional Operations Manager and provide back-up support, as needed, to Region-Wide Operations Team.
