Responsibilities

  • Assist with managing access to the Internal / Project / Client and Archiving CDE’s - Asite & Sharepoint, and updating the access matrices accordingly
  • QC checking in Asite
  • Adding new BYUK joiners to Oriel group email and Fieldview
  • Dispatching information to various parties as defined in the workflows & distribution lists
  • Regularly reviewing the Internal/ Project and Archiving CDE and reporting on compliance with Filing & Archiving procedures
  • Updating team directories
  • Assisting BYUK & external users with Asite & Sharepoint queries
  • Maintain and complete the electronic document control filing and archiving
  • Assisting with creating new issuers in Asite and with customizing folders and folders structure, security roles, custom fields, forms and workflows to the specific requirements of the project
  • Liaise between Project Management and [when applicable] the external company employed to organise H&S Files and Operational & Maintenance Manuals to ensure appropriate submission of the approved Stage 6 drawings for inclusion in such documentation
  • Effectively communicate between all relevant departments, to liaise between Client, Consultants and project staff for document control matters, advising on the correct use of the system and notifying them of any relevant changes and updates to the use of the system, set up and processes.
