Requirements

  • - Office Assistants are members of the Department of Residence Life and Housing who are to be compensated hourly for working at one of the Central Office receptionist desks or the Residential Education Office reception desk.
  • - Office Assistants are not required to live in a Residence Life and Housing property, but it is preferred.
  • - Office Assistants living in one of our four properties are eligible for a 20% housing discount.
  • - Data entry and cross-referencing spreadsheets and information.
  • - Assist with move-in packets, material preparation assembly and proper distribution.
  • - Attend and assist with check-ins and check-outs.
  • - Complete and submit Maintenance Requests as needed.
  • - Attend all scheduled meeting and training sessions as directed by supervisor.

Responsibilities

  • Assist in maintaining the reception area during office hours
  • Keep an accurate account of all hours worked by clocking in and out of dayforce on time
  • Management of office functions including typing, proofreading, developing flyers and program materials, creating and working with databases, answering the phone, processing mailings, and appointment scheduling
  • Complete an accurate inventory of all items at the desk(s) at the start of every shift according to prescribed guidelines
  • Keep confidential all information discussed in meetings, memos, or overheard from any of the staff offices unless directed to share the information by supervisor, or their designee
  • Maintain a clean and orderly desk and reception area by adhering to supervisor guidelines for maintaining logs, passes, cards, paperwork, project documents, etc
  • Assist with tours, walks, lockouts, and overall community support
  • Responds quickly and courteously to resident concerns and questions and takes prompt action to solve problems and/or document and convey resident or other requests to the appropriate individual(s)
  • Assists with move in and move out process for residents
  • Assist Cleveland State University and the Department of Residence Life and Housing in answering questions from students, families, staff, and visitors, and them to the appropriate means of obtaining the requested information whether in person, via phone, or via email
  • Answer the service desk telephone and transfer calls according to guidelines and procedures outlined by the supervisor and the Central Office Assistant Manual
  • Greet everyone who enters the office with a smile, positive attitude, acknowledgement, attentiveness, good posture, professionalism, and respect
