Responsibilities

  • - Process expense statements for the staff members on the studio
  • - Coordinate and arrange meetings, prepare agendas, arrange food, and record and transcribe minutes of meetings.
  • - Maintain team calendars
  • - Prepare AIA documents as requested
  • - Compose and type routine correspondence, AIA contracts, meeting memos, punch lists, field reports and letters.
  • - Transcribe memos, letters and field reports for assigned team.
  • - Reserve conference rooms. Maintain appearance of these conference rooms following scheduled meetings.
  • - Answers and screen telephone call and arranges conference calls
  • - Coordinate business travel for staff members on the teams, including flights, cars rentals, hotels and other reservations as necessary
  • - Greet scheduled visitors and direct to appropriate area or person.
  • - Prepare intra- and inter-office mail, outgoing mail and correspondence, including e-mail, couriers, and deliveries.
  • - Assist with team marketing efforts, including creating and/or editing presentations, updating resumes and submitting proposals.
  • - Provide back-up support to Receptionist when needed
  • - Assist with special projects and research as needed
