Responsibilities

  • Directly responsible for the management and maintenance of student credentialing document files (BLS, CWO, Immunizations, CBC, Drug Screening, HIPPA, Mask Fittings, and other documents as necessary) for all classes, safeguarding accuracy, timeliness, and compliance with all institutional, medical school, affiliates’ policies, and Office of Student Affairs procedures. This task includes daily updates to the Credentialing Class Roster (Blue Rosters) for each class and reporting any student non adherence to the Senior Analyst; and signing, collecting and saving the MS4 Graduation Clearance form after ensuring 100% compliance from graduating students.
  • Assists the Unit Manager with purchase orders, Direct Pay, food and entertainment purchase, office supplies purchase, travel arrangements, and other tasks related to office budget matters, as well as with office equipment inventory.
  • Assists the Unit Manager with Affiliation Agreements.
  • Responsible for the logistical set up of meetings (GPC, Staff, Committee, etc.) & student events (food, room reservations, WebTMA work orders, IT tickets, item distribution, etc.), and supports the Unit Manager and Senior Analyst as needed during all meetings and events.
  • Front desk management – phone, email, in-person visits.
  • Complete department specific CME as assigned; complete a minimum of 3 position-related software and/or systems training every year (Microsoft, Qualtrics, Box, Maxient, Acalog, SharePoint, Weave, etc. Any system or software used by the Office of Student Affairs.)
  • Support and assist the Deans and other staff as needed on a daily basis.
  • Perform all other duties as assigned to support the Office of Student Affairs; knows, understands, and follows all office policies and procedures. Adheres to Family Educational Rights and Privacy Act (FERPA) for all students. Perform additional duties as required by supervisor.
  • Adhere to all TTUHSCEP policies, procedures and processes.
  • Personally demonstrate, display, and act in accordance with TTUHSCEP's values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Actively promote and encourage staff across the institution.
  • Perform all other duties as assigned.
