Responsibilities

  • In this role, you will take responsibility for specific projects assigned by the Directors, monitor progress and evaluate the outcome of each project, ensuring the Directors are kept fully informed.
  • You will coordinate, lead and manage a range of functions on behalf of the Directors, including the preparation of papers and presentations for internal and external use, arranging conference speaking slots and liaising with conference organisers to ascertain the content of presentations.
  • You will also prepare presentation materials and act as the first point of contact on behalf of the Directors, providing a 'focal' and 'advice' point for the department.
  • Tasks for this role include:
  • working with the Directors to ensure the effective and efficient implementation of company policies and the achievement of the department's objectives, including financial ones
  • electronic diary management for the Directors to ensure the effective use of time
  • managing and administering meetings and visits, including conference calls, interviews, conferences, etc
  • the screening of telephone and monitoring of email accounts for the Directors and dealing with matters where appropriate, especially in their absence
  • arranging and managing all logistical requirements and travel arrangements, including overseas travel, hotel bookings, business cards, room bookings etc
  • maintaining an efficient bring-forward system to ensure deadlines are met
  • attending management team meetings, and recording and chasing actions
  • information gathering and the draft compilation of reports for the board and management team meetings to ensure the Directors meet deadlines
  • handling personnel information, ensuring confidentiality at all times
  • where appropriate carry out primary research for the Directors, seeking information from a variety of sources and presenting findings in a suitable format
  • preparing correspondence, documents, reports and presentations (including personal correspondence where necessary)
  • managing systems on behalf of the Directors to deal with leave, expense claims, sickness, etc, for them and their management team, including compiling their travel and expenses monthly claim
  • managing the Directors' electronic and hard copy filing systems.
