Requirements

  • 4 to 7 years of experience in a similar role supporting executives
  • Extensive experience in managing detailed executive travel arrangements (flights, cars, itineraries, maps, etc.) as well as calendar management experience using Microsoft Outlook
  • Proficient in Excel, Word, Power point, autonomous & highly motivated with ability to multi-task productively and work independently and collaboratively
  • Experience working in a fast-paced environment with strong attention to detail and ability to prioritize projects and workload
  • Excellent interpersonal skills allowing effective and professional Ability to accept accountability, assume leadership and demonstrate initiative
  • Comfortable working and communicating with senior level managers across the organization

Responsibilities

  • Schedule and maintain calendar of appointments, meetings and travel itineraries, and coordinate related arrangements
  • Make domestic and international travel arrangements and handle changes as needed
  • Coordinate meeting arrangements (setting up conference calls, video connections, scheduling meeting rooms, arranging reservations / catering, etc.)
  • Mange multiple calendars
  • Maintain office supplies, as necessary for the Department
  • Special projects as assigned
  • Distribute mail and coordinate courier service as needed
  • Prepare expense reports accurately and promptly. Keep a record of expenses reimbursed
