Responsibilities

  • Regularly utilize Task Delegation and Workflow Management software (BigHand) to receive, enter and update assignments; communicate with supervisor(s) through the Executive Support Hub (BigHand) in a timely manner the status of task completion and new developments that may impact the assignment and personally reach out for additional information or guidance when needed.
  • Assist with word processing; edits and proofreads correspondence, memorandums, reports, and other general communications.
  • Draft routine correspondence and memoranda; updates recurring reports as assigned.
  • Demonstrate a high level of internal and external client service; screens communication and responds promptly in a clear, concise, and accurate manner.
  • Periodically respond to client, staff, legal professionals, and vendor inquiries.
  • May answer phones and take messages, schedule appointments and coordinate meetings, arrange audio and video conferences; reserve conference rooms and arrange set-ups.
  • May provide support with maintaining Executive Team members’ calendar and advise Executive Team member of appointments, update Executive Teams address book and InterAction entries.
  • Process expense reports and invoices; arrange check requests and monitor through completion.
  • Arrange travel and prepare itineraries; maintain travel and desk profiles.
  • Coordinate or assists with sending, printing, scanning, and/or copying documents.
  • May provide file management support for Executive Hub.
  • May assist with opening, screening and routing mail, and manage email and fax if applicable.
  • May provide support on firmwide and/or group initiatives.
  • Manage confidential information discreetly.
  • Participates in formal and informal training and development opportunities for the team.
  • Other administrative duties as assigned.
