Responsibilities

  • Manage calendar bookings and meeting requests, working collaboratively with other administrative staff and colleagues across the organization
  • Proactively assists with report production and printing
  • Highly focused and results oriented in supporting sometimes complex, deadline driven requests
  • Prepare ad-hoc or routine meeting agenda and minutes; distribution of meeting materials and communication to participants
  • Assist in special projects, team meetings/events, and staff recognition
  • Gather, track, monitor, report and distribute data/information
  • Provides Executive support on internal HR and admin processes and procurement related processes/applications i.e. Workday, Concur (travel/expense), MyProcurement, Vacation Management System, etc.
  • Monitor department expenses and budgets
  • Anticipate and respond to inquiries and opportunities through regular interface with Management Teams & National Office, researches requests and presents effective solutions
  • Execute staff onboarding and offboarding activities
  • Assist in preparation of reports, presentations or communications when required
