Responsibilities

  • Serve as a key point of contact in matters related to the quotidian operations and functions of the Arlington office, to include parking, maintenance, supplies, etc.
  • As the Arlington office point of contact, coordinate efforts with internal and external stakeholders to reserve conference space in support of meetings, workshops, training sessions, etc.
  • Oversee and update the Arlington conference center calendar, to include meticulous documentation of all impending meetings and conferences.
  • Configure conference spaces—to include moving tables around and lifting objects up to 20 pounds—in accordance with requestors’ needs in anticipation of meetings, workshops, training sessions, etc.
  • Work with internal stakeholders—to include IT and Security—in the oversight of functions convening from the Arlington office conference spaces.
  • Order supplies and materials as needed, and ensure the timely and accurate payment of invoices for office utilities.
  • Perform data entry as needed and circulate time sensitive information to Arlington office staffers.
  • Utilize word processing, spreadsheet, project management, and graphic or presentation software in support of office administration duties.
  • Coordinate activities across departments.
  • Prepare and maintain work processing, spreadsheets, data bases, and/or other software files and information in support of office administration requirements.
  • Answer, screen, and direct incoming telephone calls; responds to routine and non-routine inquiries as appropriate.
  • Schedule appointments, arrange meetings, and prepare required materials in coordination with key stakeholders.
  • Support Arlington office staffers in pursuit of mission needs, to include disseminating sensitive material on classified systems and escorting uncleared staffers when needed.
  • Perform all other position-related duties as assigned or requested.
