Possesses strong organizational and decision-making skills for project coordination. Excellent communication skills, and able to train or lead associates in general aspects of the business operation for a particular department.

Responsibilities

  • Handles all office activities and operations, including mail and distribution, filing, word processing, office supplies and order processing. Leads in the coordination and administration of multiple technical and administrative support functions.
  • Collects, compiles and analyzes statistical data and information. Generates and prepares summary reports related to department plans, programs and projects.
  • Coordinates activities with vendors, contractors and other external parties. Acts as the primary liaison with external parties for the department.
  • Ensures accurate and timely financial recording, accounting, cost methods, expense recording and tabulation methods for department.
  • Evaluates and recommends changes and improvements to existing processing procedures, standards, specifications, methods and equipment used throughout the department.
  • Assists with planning the operating budget for department, with respect to materials, supplies and associated operating expenses. Monitors and reports data that may impact overall operating results for the department.
  • Leads the development and maintenance of administrative procedures, manuals and office files.
  • Verifies and approves payment of all invoices for printing, supplies and equipment and utilities for office.
  • Assists in training of internal associates on department procedures, policies and practices. Coordinates all workflow for an assigned office/department.
  • Supervises office staff. Schedules and coordinates projects independently and handles special assignments from management.
  • Performs moderately complex troubleshooting for the department on all department problems as well as technology issues.
  • May perform other responsibilities as assigned.
