Responsibilities

  • Handling space, facilities, and equipment management projects, including renovation, maintenance, and ongoing operations.
  • Regularly updating leadership of said projects and proposing office assignments within the department, including accommodations for guests and temporary faculty/staff.
  • Coordinating technology deployment and updates in collaboration with relevant departments, including ordering computers, pagers, etc. for faculty and staff.
  • Collaborating with Facilities Services to oversee conference rooms and daily maintenance.
  • Coordinate the submission of credentialing applications for new healthcare providers and reappointment applications for existing providers.
  • Ensure that applications are completed accurately, including all required information and supporting documentation.
  • Ensure existing faculty members maintain proper certifications, licenses, and credentials.
  • Tracking license expiration dates, reappointments, and insurance certificates.
  • Liaising with the Medical Staff Office for credentialing and related processes.
  • Overseeing day-to-day office management and administrative staff. Support department-centric projects for Chair/EA/SA, as needed.
  • Providing guidance and ensuring consistency in administrative responsibilities.
  • Be key point person for office related needs, including supplies, computers, EVS, plant requests, keys/swipe access, etc.
  • Work closely with media counterpart to provide departmental content for internal and external distribution.
  • Oversee department compliance with required annual trainings for University and Hospital; work with department members to ensure completion and troubleshoot at needed.
  • Other duties as assigned.
  • Collaborate with Executive and Section Administrator(s) with faculty recruitment processes including but not limited to ad posting, candidate communication, and onsite visit logistic planning.
  • Track onboarding processes of both faculty and staff, ensure responsible parties complete their respective onboarding tasks.
  • Support activities of department search committees, including meeting minutes, key communications with candidates and assisting with outreach for searches.
  • Responsible for coordinating badges, office space/supplies and other needs for new staff and faculty.
  • Onboard rotating students and volunteers within the department.
  • Leading and supporting projects, strategic initiatives, and program development under the direction of the Executive/Section Administrator and Department Chair.
  • Coordinating logistics and communication for significant events and providing innovative solutions for event planning as needed.
  • Supervising multiple projects simultaneously and ensuring timely resolution of issues.
  • Professionally supports the clinical department management. Implements plans for clinical educational programs and initiatives.
  • Acts as a liaison between the section and other University departments.
  • Performs other related work as needed.
