Responsibilities

  • Assist the Project Manager (PM) in drafting comprehensive project proposals, budgets, and cash flow projections, ensuring that financial planning aligns with project objectives.
  • Help develop and maintain preliminary project schedules, updating programs and contract documentation to monitor project milestones, track progress, and ensure quality control throughout the project lifecycle.
  • Collaborate with the PM to review and update financial forecasts, ensuring that budgets and cash flows are aligned with project activities and adjusted as needed to reflect actual project progress.
  • Conduct thorough reviews of site reports, ensuring accuracy and timeliness, and assist in drafting monthly update reports to keep clients informed of project progress and any potential issues.
  • Prepare and deliver monthly progress reports, adhering to billable deliverable requirements and ensuring that clients are provided with clear, accurate updates on project status and performance.
  • Support the project’s financial health by monitoring and chasing outstanding invoices, ensuring timely payments from clients and vendors, and maintaining up-to-date records of financial transactions.
  • Ensure that all project documentation is properly filed, archived, and accessible in compliance with PMA (Project Management Association) standards, facilitating easy retrieval of key project documents.
  • Assist in maintaining documentation that tracks the quality of work on the project, ensuring that project deliverables meet the established standards and expectations.
  • Provide general administrative support by coordinating with stakeholders, ensuring that all project-related communications and documentation are organized and shared efficiently across teams.
  • Assist the PM in updating and managing contract documents, ensuring they reflect current project developments and serve as a reliable reference for tracking obligations and deliverables.
