Requirements

  • Typically requires an AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant Executive Administrative Assistant experience OR 8 years with a HS Diploma.
  • Six (6) years professional experience working in an administrative environment.
  • Experience with Microsoft Word, Excel, Power Point, and Outlook tools.
  • U.S. citizenship is required, as only U.S. citizens are authorized to access information under this program/contract.
  • Proficiency in SharePoint, SAP/APEX, and Video conferencing applications such as Zoom or MS Teams.
  • Previous defense industry and/or company experience.
  • Highly proficient in organizing data and documents with the ability to maintain confidentiality of personnel information.
  • Ability to think ahead, anticipate challenges and mitigate.
  • Willingness to learn new skills.

Responsibilities

  • Organizing and prioritizing leadership calendars to minimize schedule conflicts
  • Planning and coordinating domestic/international travel
  • Preparing, submitting and performing cursory reviews of expense reports
  • Drafting departmental and directorate correspondence
  • Managing office assignments and arranging facilities work orders
  • Procuring and distributing office supplies
  • Reserving and approving conference rooms
  • Arranging business lunches
  • Preparing security clearances and visitor requests
  • Working with the Admin team to support directorate initiatives
  • Collaboration with Talent Acquisition for onboarding of new hires to the directorate
