Responsibilities

  • Directly responsible for the management of student related matters, such as: Onboarding and credentialing of new incoming students; credentialing of rising MS2, MS3, and MS4 students; processing MS4 graduation clearance requirements; processing clearance and credentialing of all VSLO and Non-VSLO (Military, Pharm D, PA, NP, etc.) visiting students (Home and Host Institution). Responsible for all communication with students (email and phone) for matters related to credentialing and clearance. Responsible for all PCC forms.
  • Responsible for managing and annually updating all calendar events related to student onboarding, orientation, and credentialing (MS1 onboarding, MS2, MS3, MS4 orientations and credentialing days, class photo days, class meetings, etc.), to ensure all necessary logistical information, agendas, and documentation/paperwork is available and up-to-date. Supervises the Business Coordinator on the logistical set-up of these events (food purchase, room reservations, WebTMA work orders, IT tickets, etc.).
  • Responsible for overseeing (timely audit) and providing guidance and training to the Business Coordinator on the task of students’ credentialing documents management (BLS, CWO, Immunizations, CBC, Drug Screening, HIPPA, Mask Fittings, photos, and other documents as necessary), to ensure accuracy, timeliness, and compliance with all institutional, medical school, affiliates’ policies, and Office of Student Affairs procedures.
  • Responsible for assembling the New Student Orientation Handbook and Checklist documents, and updating them on the OSA Website annually. In charge of providing them to all new incoming students as they are cleared by the Office of Admissions. Maintains communication with new incoming students to answer all questions and resolve issues they may have navigating the onboarding process and TTUHSC EP systems, with the support of IT HelpDesk, SSSE, and other stakeholders.
  • Assists the Unit Associate Director and Analyst II with execution of all Office of Student Affairs special events, as needed. Responsible for the distribution of name tags and Red hangtags to students. Other student related work responsibilities as directed by Unit Associate Director.
  • Complete department specific CME as assigned, as well as In-Service. Complete a minimum of 3 position-related software and/or systems training every year (Microsoft, Qualtrics, Box, Maxient, Acalog, SharePoint, Weave, etc. Any system or software used by the Office of Student Affairs.)
  • Performs the duties of the Office of Student Affairs Wellness Officer and Safety Officer.
  • Support and assist the Deans and other staff as needed on a daily basis. Perform all other duties as assigned to support the Office of Student Affairs; knows, understands, and follows all office policies and procedures. Adheres to Family Educational Rights and Privacy Act (FERPA) for all students.
  • Adhere to all TTUHSCEP policies, procedures and processes.
  • Personally demonstrate, display, and act in accordance with TTUHSCEP’s values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Actively promote and encourage staff across the institution.
