Responsibilities

  • Manages clerical operations of the department, and supports a department with 13 full-time staff members, graduate assistants, and student employees
  • Responsible for the upkeep of multiple databases including the tracking of student participation information, mail and email communications
  • Provides and accurate ledger of fiscal matters for multiple grant and discretionary accounts including accurate tracking of participant costs for all department spending
  • Prepares budget reports monthly and as requested by program directors
  • Facilitates the processing of all goods and service contracts with purchasing and legal departments
  • Processes purchase orders, IDT’s, and travel documents for department staff
  • Oversees human resources processes and procedures (including payroll, new hire onboarding, and timekeeping) for the department
  • Provides interpretations of policies and procedures related to travel, employment, and purchasing for departmental staff
  • Analyzes and makes recommendations for office operational needs, including equipment, workflow and materials
  • Responsible for departmental inventory of supplies and equipment and completes annual asset reports
  • Serves as the office liaison with financial aid to complete annual work study agreements and process departmental scholarships
  • Provides backup to the front desk staff when necessary by answering incoming phone calls, emails, and greeting visitors to the department
  • Supports all programs and initiatives originating out of the department
